Privacy Policy

Effective from 23 Oct 2026

This policy explains how Leafland Limited collects, uses, shares and protects your personal information, whether you deal with us through leafland.co.nz, by phone, by email or in person, and how you can see or correct it. We follow the Privacy Act 2020 and its Information Privacy Principles.

In short: we collect only what we need to answer your questions, supply your trees and run your account. We record phone calls and keep emails with your customer record so any of our team can pick up where the last person left off. We don't take payment on the website, we don't sell your information, and you can ask to see or correct what we hold at any time.

Who we are

We are the business that collects and holds your information:

Leafland Limited
1 Roberts Line
Palmerston North 4414

Collecting your information

Through our website

  • Order requests: your name, email, phone number, company, delivery address, any notes you add, the plants you've chosen and how you heard about us.
  • Contact, catalogue and credit account forms: the details you type in and any files you attach. A catalogue request asks for your postal address. A credit account application asks for your business details, postal and delivery addresses, your bank's name and your accountant's name.
  • Nursery visit bookings: your name, email and phone number, what you're interested in, your budget, how you heard about us, and the email addresses of anyone you invite.
  • Job applications: your name, email and phone number, whether you can work in New Zealand, and the CV and cover letter you attach. Only the people hiring for the job can see them, and we delete them 12 months after the job closes.
  • Your account: your name, email, phone number, delivery addresses and your order history with us.
  • Newsletter and back-in-stock alerts: your email address, and your name if you give it. For the newsletter we also record when and where you signed up.
  • Browsing: which pages you visit, how you arrived and the type of device you use. If you place an order request after following a link from an ad or another website, we note where you came from.

Uploaded photos in the Leafland Assistant

If you add a photo of your garden to a Leafland Assistant conversation, we use it only to generate the picture you asked for. The photo is sent to our image provider, OpenAI, to make that picture. We keep the photo and the picture for 30 days so our team can check that the Leafland Assistant is working well, then delete them.

By phone

We record phone calls to and from our office. Each recording is transcribed and summarised automatically, and kept with your customer record so our team knows what was discussed.

By email

Emails between you and our staff are kept with your customer record, for the same reason.

Quotes and invoices we email you

When we email you a quote or an invoice, the link in the email opens a page on our website. We record when you open that page, the kind of device you use (for example "iPhone") and the town or city your internet connection shows, so the person who sent it knows you have seen it. If you accept or decline a quote on that page, we also keep the name you give, any reason you add, and your internet (IP) address. We keep this with the quote or invoice for as long as we keep the document.

When you buy from us

Your quotes, orders, invoices, payments and delivery details, and your credit account details if you have one.

From other sources

We sometimes find business contact details from public sources, such as a company's own website, when we contact businesses that might want our trees. If you had an account or placed an order on our previous website, we've moved those details to our new system so your account and order history carry on as before.

You don't have to give us your details. Without them, though, we can't answer your enquiry, prepare your order or set up your account.

Using your information

We use your information to:

  • answer your questions and send you the catalogue you asked for
  • prepare quotes, check stock, work out freight, invoice you and deliver your trees
  • set up and manage trade terms when you have a credit account
  • arrange your nursery visit
  • run your website account and let you sign in
  • keep a record of our conversations, so you don't have to repeat yourself
  • show you how our trees could look in your space, using photos you send us
  • send you our newsletter, or tell you when a plant is back in stock, when you've asked us to
  • understand how our website is used, so we can improve it
  • see which of our ads lead to orders
  • keep the business and tax records the law requires

We use it only for these purposes, or for another purpose if you agree or the law allows it.

Cookies and analytics

A cookie is a small file your browser stores for a website. We use them for three things:

  • Making the site work. Cookies remember your cart and keep you signed in. The cart and sign-in won't work without them.
  • Measuring how the site is used. Google Analytics tells us which pages people visit and how they found us.
  • Advertising. Google Ads tells us which ads lead to orders, and lets Google show our ads to people who have visited before. When you place an order, we send Google your email address, phone number and name in scrambled (hashed) form, along with your city and postcode, so it can tell which of our ads led to your order. Google uses it only to measure our advertising.

Our contact page shows a Google map, and Google may set its own cookies when it loads.

You can block or delete cookies in your browser settings. To stop Google Analytics, install Google's opt-out browser add-on from tools.google.com/dlpage/gaoptout. To control the ads Google shows you, visit myadcenter.google.com.

Sharing your information

We don't sell your information, and we don't let other businesses use it for their own marketing. These services help us run the business, and handle your information only on our behalf:

  • Cloudflare hosts our website and business systems, stores our data and files, sends some of our emails and runs the spam check on our forms.
  • Microsoft 365 runs our email.
  • Xero is our accounting system. Your quotes, orders and invoices are kept there.
  • Telephonics runs our phone system and makes the call recordings.
  • Speechmatics turns call recordings into text.
  • Anthropic and OpenAI provide the AI tools that help our staff summarise calls, sort emails, draft replies and make planting mockups from photos you send us.
  • Mailchimp sends our newsletter.
  • Google provides Google Analytics, Google Ads, maps and address lookup, and the contact list on our delivery drivers' phones.
  • Cartrack tracks our vehicles and plans delivery routes.

Some of these services store information outside New Zealand.

When we send your trees with a freight company, we give them your name, delivery address and phone number. We also share information when the law requires it, or when you've agreed to it.

Keeping your information safe

We take reasonable steps to protect your information from loss, misuse and unauthorised access. It is stored securely, only staff who need it can see it, and all traffic to our website and business systems is encrypted.

How long we keep it

We keep your information only as long as we need it for the purposes above, including keeping business and tax records as the law requires.

Seeing and correcting your information

You can ask for a copy of the personal information we hold about you, including call recordings, and ask us to correct it. Contact us using the details below and we'll reply within 20 working days. You can also update most of your details yourself under My account on our website, and unsubscribe from our newsletter using the link in any issue.
